This package provides support for managing and tracking the allocation of equipment temporarily to users within the organization. The applications consist of the following components:

  • An Equipment Allocation entity process used to record and track each device or peripheral a user has on loan, including handling the preparation and returns.
  • Allow a user to request equipment to work from home utilizing an Equipment Loan Request Catalog Offering that is exposed for self-service access through the SMAX Portal.

Release notes

The app "Work from Home - Equipment Loan" in version 1 provides support for managing and tracking the allocation of equipment temporarily to users within the organization. The applications consist of the following components:

  • An Equipment Allocation entity process used to record and track each device or peripheral a user has on loan, including handling the preparation and returns.
  • Allow a user to request equipment to work from home utilizing an Equipment Loan Request Catalog Offering that is exposed for self-service access through the SMAX Portal.

The app consist of a workflow with following phases to manage the Equiment Loan Allocation:

  • Phase: Prepare - When an Equipment Allocation record is first created it resides in this phase. During this phase the Assignee/group working on the ticket would identify the correct asset from the CMDB to allocate to the end user and make sure it is ready to be dispatched to the user. This asset can be a device or an Infrastructure/Peripheral record. A record cannot move to the ready to dispatch phase without one of these 2 fields being populated. The allocation record can also be cancelled by selecting the end phase.
  • Phase: Ready for Dispatch – This phase is used for when the equipment is ready to be dispatched or collected by the user. Once the equipment has been passed to the user, the record can be manually moved to the on loan phase. If the user no longer requires the equipment, the record can be manually moved to the returns phase. The assumption is that the equipment may require some actions to make it available for use by someone else.
  • Phase: On Loan – For the duration of the time a user is in possession of the asset, the record would stay in this phase. During this phase the user would receive a notification prior to the planned return date. The record can only be moved to the next phase once the return date has been populated
  • Phase: Returns – This phase is to manage all activities related to making sure the equipment can be returned to stock for reuse. In the event that the equipment loan was canceled prior to being given to the user, the record can be moved to the cancelled phase. Please note for this release of the application we have not included any returns process.
  • Phase: End – The final end phase is for when the Allocation is closed, and the device is available for use again
  • Phase: Cancelled – This final phase is for when the Allocation was cancelled.
