Checking out to OneDrive or Google Drive
The Check Out to OneDrive or Check Out to Google Drive option enables you to check out an electronic document from Content Manager to your OneDrive/Google Drive. As a part of the check out process, you can identify other Content Manager users, or external people, the document is to be shared with so you can all view and edit the document from your OneDrive/Google Drive.
- Search for the record with the electronic document to check out of Content Manager.
- Right-click it and select Check Out to OneDrive or Check Out to Google Drive.
The Check Out Document to OneDrive/Google Drive dialogue box appears with your selected record number.
- By default, the selected OneDrive/Google Drive folder is Content Manager Documents. Click the KwikSelect to display the Select OneDrive/Google Drive Folder dialogue, and select a listed folder if you wish to change the folder the document is checked out to.
- On Check Out, the document can be shared with Content Manager Locations that have an email address, to select the Location(s), click the KwikSelect and the Select from... dialogue is displayed. Search for and select the Location(s) to share the document with from your OneDrive/Google Drive. You can also add a person's email address to share the document with them, click Add and the Add user to share list dialogue is displayed. Type in the email address of the person, click OK.
- If required, you can add Comments to the check out. These will be added to the email that is sent to the people you are sharing the document with.
- Once the electronic attachment has been extracted, it will be available in your OneDrive/Google Drive in the folder you saved it in.
Open OneDrive/Google Drive to view and/or edit the document. The users you shared the document with will also be able to view and edit the document in your OneDrive/Google Drive.
Once the document is updated, you can Check in back to Content Manager. See Checking in checked out electronic documents for checking in your checked out document.
NOTE: For Google Drive only
In Google Drive, when you edit the document, if the format conversion happens, for example .txt to .docx, then the changes will not be saved in the original checked out document. So, when you check in the document, you will not find the changes in Content Manager.
Make sure to use appropriate application to edit the document in Google Drive where the format conversion does not happen.
