Check out and check in from Google Drive

Content Manager Web Client supports checking out and checking in documents from Google Drive. When you click on a record in Web Client and the document is in Google Drive, you will see in the Actions panel.

To checkout to Google Drive:

  1. Select the record you want to checkout to Google Drive.
  2. Click in the Actions panel.

    The Check Out to Google Drive window is displayed.

    By default, all the documents you check out to Google Drive is checked out to Content Manager Documents folder in the Google Drive. If the Content Manager Documents folder is not already available, Content Manager creates the folder in the Google Drive.

    You can also check out to a folder in Google Drive. Click and select the folder from the list, where you want to check out the document.

  3. You can also share this document with other users.

    Click to add an email address of the person you want to share the document with. Click to search and select a user you want to share the document with.

  4. Enter comments, if any, in the Comments and click OK.

    The document is checked out to the selected folder in the Google Drive.

    If you have shared the document with other user(s), then an email will be sent to the user(s) with a link to the document in Google Drive.

  5. Edit the document as required, close the tab and then check in the document.

To check in from Google Drive:

  1. Select the record you want to Check In and from the Actions panel, click Check In

    The check in record dialog is displayed with the following options:

    • Make a new revision - the updated document will be checked in with a new revision.
    • Discard any modifications made - document will be checked in discarding the changes made to it.
    • Keep checked out - checks in the updated document to Content Manager Web Client but keeps the document checked out in Google Drive.
  2. Select the options as required.
  3. Add comments, if any, and click Check In.

    The document is checked in to the Content Manager Web Client.
